Our Approach
Independent advice, ordered so that the cheapest and simplest answer is always considered first.
Four rules we work to
They are not marketing language. They decide the order in which we look at things, and they are the reason our recommendations often end with fewer tools than you started with.
- Vendor-neutral — we hold no reseller, referral or commission arrangements
- Simpler before newer; existing kit before replacement
- Sized to a small team, not to an enterprise buying pattern
- Written down, so it can be checked by anyone later

Why we start by taking things away
1. Establish what is actually used
Most small setups contain tools nobody has opened in a year, plus two products doing the same job because they were adopted at different times.
- List every paid tool and its renewal date
- Check who uses each one and how often
- Identify overlapping functions
- Separate what is used from what is merely paid for
2. Remove before adding
Cancelling an unused subscription and deleting a duplicate step is the cheapest improvement available. It also reduces the surface area you have to look after.
- Unused licences flagged for cancellation
- Duplicate processes merged
- Manual steps removed where safe
- Savings documented before any new cost
3. Simplify what remains
Once the obvious waste is gone, the remaining tools are reviewed for whether they still fit the way you actually work — not how they were assumed to work.
- Workflow mapped end to end
- Bottlenecks identified in order of impact
- Simplified version agreed with the people affected
- Changes introduced one at a time
4. Only then consider change
Replacing or adding a system is the last option, not the first, and only where the case is clear enough to write down in one paragraph.
- Case for change written in plain terms
- At least two realistic options compared
- Cost over three years, not just month one
- Recommendation you can act on with any supplier
Where the difference shows
| A common approach | Our approach |
|---|---|
| Begin with a product recommendation | Begin with what is not working and why |
| Recommend the newest version available | Recommend the simplest option that fits |
| Quote a licence cost per user | Quote the full cost over three years, including your time |
| Handle the change and keep the knowledge | Document the change so you keep the knowledge |
| Stay on retainer to manage what was installed | Hand over, and remain available if asked |
| Describe results in general terms | State plainly what was and was not achieved |

What we will not claim
We do not hold security certifications, and we do not offer accreditation, audit or compliance opinions. Where your situation needs a specialist working under formal regulation, we tell you that clearly rather than stretching our own scope.
We also do not guarantee outcomes. We can tell you what we found, what we compared and why we recommend a particular option; we cannot promise what a third-party product will do next year, or that any given approach will never fail.
- No certification, accreditation or audit opinion
- No guarantee about third-party services or pricing
- No handling of payment, banking or card systems
- No promise that work will be completed without interruption
Want a second opinion?
If you are weighing up two options and want an independent view, that is a good place to start.
